How to collect RSVPs without chasing people

Knowing how many guests are coming changes the whole plan. Here is how the RSVP works inside the invitation and what actually lifts the response rate.

What the RSVP does

A guest opens the invitation and answers from the same screen: coming or not, and how many people they are bringing. There is no separate form, no second link, no account to create.

Answers collect in one list in your dashboard.

Where you see the list

In the RSVP screen of that invitation. The list shows the name, the answer, the headcount and any note; you can export the table and hand it to the venue.

  • Attending
  • Not attending
  • Not sure yet

The third option is deliberate. A guest who is genuinely unsure usually answers nothing when the only choices are yes and no. An uncertain answer carries more information than silence.

What lifts the response rate

Asking plainly. Adding a sentence like “please let us know if you can make it” to the invitation text raises the response rate visibly.

Timing is the second factor: invitations sent very close to the date get fewer answers, because people cannot check their calendar that far ahead in a hurry.

When to lock the number

Venues usually want a final count a few days before. The list stays live until then, so you can follow late changes and export the final version.

Do not delete guests who declined. “Who has not answered yet” is also planning information.
